Managing Same-day Delivery Orders & Vendor Responsibilities

📦 Managing Same-day Delivery Orders & Vendor Responsibilities
Every Same-day delivery order represents a commitment to the customer and the delivery driver.
When your store accepts an order, your responsibility is to prepare it correctly, on time, and make it ready for pickup.
Repeated delays, cancellations, incorrect orders, or other violations may affect your store account.
1. New Same-day delivery Order Received
When a new Same-day delivery order arrives:
Step 1: Review the order Status immediately.
Step 2: Confirm that the products are available.
Step 3: Begin preparing the order.
Step 4: Verify the items and quantities.
Step 5: Package everything securely.
Step 6: Make the order ready for driver pickup.
Do not wait until the driver arrives to begin preparing an order that should already be ready.
⏱️ 2. Driver Pickup — 15-Minute Maximum Wait
When a DPdrop driver arrives for pickup, the vendor should have the order ready.
The driver can wait a maximum of 15 minutes for the order.
The 15-minute timer
Driver arrives → Pickup waiting begins → Maximum 15 minutes
If the order is still not ready after 15 minutes, the system may record the order as a Vendor Delay.
The purpose is not to punish a vendor for an occasional problem. It allows D-Shopp to identify stores that repeatedly cause delivery delays.
⚠️ 3. If You Are Running Late
If something unexpected happens, do not ignore the order.
Update the order status or report the problem through the vendor system when the appropriate option is available.
The driver should not be asked to wait indefinitely.
If the delay reaches the allowed limit, D-Shopp may record the incident for account review.
🛍️ 4. Make Sure the Order Is Correct
Before giving an order to a driver:
Check the product.
Check the quantity.
Check the variation, size or color when applicable.
Check the packaging.
Check that the correct order is being handed to the correct driver.
Once the driver confirms pickup, the order enters the delivery process.
Never intentionally give a driver an incomplete, incorrect, damaged, or substituted product without following the proper system process.
🚫 5. Product Becomes Unavailable
If an ordered product is unavailable, do not simply ignore the order.
Report the inventory problem through the vendor system and follow the available resolution process.
Keeping inventory accurate helps prevent:
Customer cancellations → Driver wasted trips → Delivery delays → Vendor violations
Repeatedly accepting orders for unavailable inventory may trigger an account review.
❌ 6. Vendor Cancellation
Vendor cancellations should only happen when necessary.
Repeated cancellations can negatively affect customers, drivers, and the marketplace.
D-Shopp may track patterns such as:
• Frequent vendor cancellations
• Accepting orders that cannot be fulfilled
• Incorrect inventory availability
• Canceling after a driver has already traveled to the store
• Repeated failure to prepare accepted orders
A repeated pattern may result in corrective action.
🕐 7. Respect Your Store Schedule
Your working hours are important.
When your store is open and accepting Same-Day orders, you are expected to be available to prepare those orders.
Orders placed after your configured closing time may follow the Standby Order process and move into the next operating period according to the system rules.
Keep your business hours accurate.
Do not show your store as available when you are unable to fulfill orders.
🚗 8. When the Driver Arrives
Confirm that the driver is collecting the correct order.
If multiple orders are assigned to the same driver, each applicable order must be available for pickup.
Do not prevent the driver from collecting the second order simply because another order has already been confirmed.
The driver may need to complete all assigned pickups before beginning delivery.
🚨 9. Problems During Pickup
If there is a problem, report it instead of creating a false status.
Examples include:
Order not ready
Product unavailable
Incorrect order
Damaged item
System problem
Driver pickup problem
Other fulfillment issue
Accurate reporting protects both the vendor and the driver.
📊 10. Vendor Performance & Risk Monitoring
D-Shopp may monitor fulfillment activity to maintain marketplace quality.
This can include patterns involving:
Preparation delays
15+ minute driver waits
Vendor cancellations
Unavailable inventory
Incorrect orders
Damaged orders
Store closed during published operating hours
Failure to respond to active orders
False order statuses
Repeated customer complaints
Repeated pickup problems
Other marketplace-policy violations
One isolated issue does not necessarily mean the vendor will lose access to the platform.
The system should distinguish occasional operational problems from repeated or serious violations.
⚠️ 11. Repeated Violations
When violations continue, D-Shopp may escalate the account for review.
Depending on the type, frequency, severity, history, and circumstances of the violations, actions may include:
Notice → Warning → Account Review → Temporary Restriction → Suspension → Permanent Removal
Serious misconduct may require faster action.
Final enforcement decisions remain under D-Shopp / Super Admin control.
🔒 12. Temporary Suspension
A vendor account may be temporarily suspended when repeated or serious problems create unacceptable risk for customers, drivers, or the marketplace.
During suspension, some or all selling functionality may become unavailable while the account is reviewed.
The vendor should receive information about the reason for the action and any available next steps.
⛔ 13. Permanent Removal
Continued serious violations after previous corrective actions or sufficiently serious misconduct may result in permanent removal from D-Shopp.
Permanent removal should be reserved for situations that justify that level of enforcement and should be controlled by authorized D-Shopp administration.
🛡️ Protect Your Vendor Account
The best way to maintain a healthy store is simple:
Keep inventory accurate.
Prepare orders quickly.
Have orders ready for pickup.
Avoid making drivers wait more than 15 minutes.
Package orders correctly.
Keep your business hours accurate.
Report problems instead of hiding them.
Treat customers and drivers professionally.
Follow D-Shopp marketplace policies.
Remember
A successful order requires cooperation between:
Vendor → DPdrop Driver → Customer
When vendors prepare orders on time, drivers can deliver faster and customers receive a better experience.
Prepare on time. Hand off correctly. Deliver a better experience.
